Create and Edit Custom Fields

Quick Links

Use the Custom Fields workspace to update and create custom fields.

To access the Custom Fields workspace, go to  Setup > Fields & Forms > Custom Fields.

Create New Custom Field

You can create Custom Fields in one of two ways:

  • Form Designer: For more informations, see Form Designer.

  • Setup tools, described in this article.

To create a new custom field using Setup tools:

  1. Go to Setup > Fields & Forms > Custom Fields.
  2. Click the New Custom Field link.

  3. Complete the form fields on each of tab:

  4. Click Add.

Basic Tab

The Basic tab enables you to configure these field options:

  • Name: Enter a name.

  • System ID: A unique identifier, automatically generated when you name an object. You can use this identifier to reference an object in scripts, templates, tags, and through the API. You can change the System ID by selecting the pencil icon. Use caution when changing the ID as it can affect existing scripts associated with the object. For more information, see System ID.

  • Label: Assign a custom label to display everywhere the field is used. You can override the label later using the Form Designer.
  • Field Type: Choose the field type from the list. Some field types, such as the Checkbox or Pick List types, offer additional options you can associate with the field. For more information, see Custom Field Types.
  • Extended Mode: When enabled, this option allows you to store values with up to 100,000 characters in specific text field types. Note that you can select this option only when creating the field, and you will not be able to change it later.  For more information, see Extended Mode.
  • Select Workflows Where You Want To Add Field: Select one or more workflows to which to add the field.

The field will be added to the Create Case action and all Edit and View actions that use the default settings in the selected workflows. If you do not select any workflows, you will need to add the field to individual workflow actions.

  • Should Field Be Required: Select the Yes checkbox to make the field required in the assigned workflow.

Extended Mode

The Extended Mode allows you to store additional characters in a field. This option is available when you create any of the following field types:

By default, these fields can store up to 4,000 characters. In Extended Mode, they can store up to 100,000 characters. Keep in mind that in Extended Mode, you will NOT be able to:

  • Search by that custom field value in the Find Cases workspace.
  • Use scripting to search for users or cases using these custom fields.

Warning: The Extended Mode is available only when you create the custom field. After you create the field, you will not be able to change the Extended Mode option setting. If you need to enable Extended Mode on an existing field, please contact SAP Sales Cloud Support.

Read Permissions Tab

Select the system roles and permission groups that will be able to view the new field. This permission determines whether the field is visible on forms, case lists, or on the Find Cases workspace. Workflow also enables you to add a new permission group in this tab.

For more information, see Add Permission Group and Custom Field Permissions.

Write Permissions Tab

Select the system roles and permission groups that will be able to edit this field. If users do not have this permission, then the field value displays, but they cannot edit it. Workflow also enables you to add a new permission group in this tab.

For more information, see Add Permission Group and Custom Field Permissions.

Advanced Tab

Use a numeric value to define the minimum character length, and Workflow will restrict the user from entering a value with less characters than this number. When used with a numeric field such as Number, Percent, and Decimal Number, this will restrict the user from entering a value that is below this number.
