Custom Fields Overview

Quick Links

Workflow provides several types of custom fields that you can use to store information that supports different elements of your business processes. You can use custom fields in workflow actions, forms, containers and table controllers, as well as with users, projects, contacts, and accounts.

You can associate custom fields with one or more workflows, and you can assign multiple custom fields to the same workflow. You can also configure actions with custom fields to help manage workflows, then later use that action to view, delete, or modify custom fields.

Standard fields are default custom fields that are automatically available in all workflows. Standard fields are denoted with a star symbol in the list of existing custom fields, and the system ID for standard fields is prefixed with sf. For example, the system ID for the Priority field is sf_Priority.

For a list of all custom fields with predefined values, see Custom Fields with Predefined Values.

For a list of all configurable custom field types, see Configurable Custom Field Type.

You can assign view and edit permissions on standard and custom fields for use by:

  • Accounts
  • Users
  • Contacts
  • Projects

To access the Custom Fields workspace, go to  Setup > Fields & Forms > Custom Fields.

Using the Custom Fields Workspace

Click the Actions  button of the field you want to do any of the following:

  • Edit: Edit the object properties.

  • Clone: Clone the object and its properties.

  • Details: See the record creation and update details.
  • Preview: Preview the custom field.

  • Show Where Used: See where the form or custom field is used.

  • Translate: Select a dictionary and enter a translation value. For more information, see Translations.
  • Download Data: Export data for backup or to import into another tenant. A Workflow Backup file (WFB) downloads with your project. You can then import the file into another tenant using the Migration Manager
  • Delete: Delete the object. You cannot delete objects that are used in default settings, or objects that are in use.
